Administrative

Patricia (Patty) Yursik, Chair


Responsibilities:

  • Fining Policy/Violation Letters.
  • Homeowner Insurance Compliance.
  • Purchase/Lease Applications.
  • AAR's (rules revisions).
  • Amendments (legal documents).


Building, Roof, and Skylight Maintenance

Jim Kennedy, Chair; Joe Yursik, Co-Chair


Responsibilities:

  • Review all service requests related to building repairs including gutters and downspouts, roofs and skylights.
  • Perform on-site inspections to determine responsibility (HOA or Homeowner). Vendor will perform roof inspection, not Chair.
  • Advise M&A Service Coordinator to issue HOA related work order and forward to appropriate vendor.
  • Request proposals outlining scope of work and time and materials.
  • Oversee roof and skylight replacement.
  • Oversee GAF roof warranty process and procedures.
  • Upon completion of work, check repair. Reconcile invoice and proposal to insure alignment.


Architectural Control Committee

Responsibilities:

  • The committee shall have full power to regulate all exterior changes to the units in the manner hereinafter provided per Article VII; Sections 8.01-8.06 of the Amended and Restated Declarations.
  • Ensure harmony of external design to protect the value and desirability of the community.
  • Review all Architectural Applications and prepare a recommendation for the Board of Directors.
  • Inspect completed Architectural approvals.
  • Advise Board of recommendation to approve or deny at the next Board meeting. A Board vote will take place.
  • If approved and when the work is completed, advise Property Manager to send letter to the homeowner that the inspection has been completed per submitted specifications.


Communications

Fining

Responsibilities:

  • Determines whether to confirm or reject the fine or suspension levied by the Board.
  • Committee consists of three homeowners which cannot be comprised of officers, directors, or employees of the Association, or the spouse, parent, child, brother or sister of an officer, director, or employee.


Irrigation

Patty Yursik, Chair


Responsibilities:

  • Irrigation includes the lines, the pump, and overflow systems including heads, clocks and valves.
  • Work with irrigation techs.
  • Visit sites of larger work orders/proposals as needed.
  • Review all invoices individually.
  • Gutter and downspout cleaning.


Landscaping and Trees

Responsibilities:

  • Oversee all aspects of landscape contract.
  • Respond to homeowners concerns regarding plants, trees, and sod. Take appropriate action on HOA issues.
  • Schedule quarterly property walkthrough with landscape vendor to identify areas that need attention as well as identify dead pine trees to be removed.
  • Approve all landscape proposals.
  • Prioritize landscape issues so budget is not exceeded.
  • Gutter and Downspout cleaning.
  • Leaf Clean up annually.
  • Massey Termite Contract, annual inspection, bait monitoring inspection & reports. Both are due in December.


Ponds and Drainage Oversight

Ponds – Solitude Lake Management

Storm Drains  – Wind River Environmental (Seminole Septic)

Responsibilities:

  • Oversee that Pinewinds ponds #30 and #32 are visually inspected and treated according to contractual obligations by a certified lake management company.
  • Review pond reports and take appropriate action regarding deficiencies noted.
  • Repair or replace broken street-drainage systems.
  • Ensure that the Pinewinds street-drainage system is inspected and cleaned on a regular basis.
  • Communicate appropriately with Woods landing HOA to ensure that the weir is properly cleaned and maintained to avoid damaging flooding in the community.


Pool Maintenance Oversight  – Pool Troopers (Pump, chemicals, skimming, vacuuming)

Responsibilities:

  • Oversee that the following occurs 3x per week M-W-F.
  • Perform on-site visual inspection of pool, water level, cleanliness of water, debris.
  • Advise M &A Service Coordinator to issue HOA related work order and forward to appropriate vendor.
  • Upon completion of work, check repair.
  • Reconcile invoice and proposal to insure alignment.
  • Advise Treasurer to pay reconciled invoice.


Pool Area and Miscellaneous Cleaning Oversight   – Affordable Work Orders, Inc.

Responsibilities:

  • Inspect Pool entrance, deck, bathrooms for cleanliness.
  • Ensure that supplies in restrooms are replenished.
  • Ensure that power wash pool decking, and chairs takes place quarterly.
  • Keep signs and mailboxes free of mold and mildew.
